Terms & Conditions of RCA Personal Training

1. Introduction  

This agreement is between the client (hereafter referred to as “you” / “client”) and RCA Fitness (hereafter referred to as “trainer” / “we” / “RCA Fitness”) who will be delivering the training. 

2. Confidentiality

All information given will be kept in confidence. Your personal details and medical information will be stored on third-party software for our use and used only for our own marketing purposes.

3. Trainer’s Obligations

3.1 Recommendations

Using the judgment and experience, the trainer will suggest certain exercises and other lifestyle advice that they believe will help you achieve your personal goals, but if at any time you have specific requests please tell us so we can accommodate them.

3.2 Results

The results of any training program or coaching course cannot be guaranteed, and progress depends on your effort and cooperation in and outside of the sessions. Individual results may vary, and no particular result is guaranteed by RCA Fitness.

3.3 Referral

The trainer intends to work with you within the scope of their knowledge and competencies. Therefore, when we believe it is in your best interests to see another health professional, we will refer you appropriately. 

3.4 If the trainer cancels or run late

Unforeseen circumstances may arise which require the sessions to be rescheduled. In this event, the following policy will apply.

  • If the trainer is forced to cancel the session within 24 hours, they will make up the session at no charge to you
  • If the trainer is forced to cancel the session giving you more than 24 hours’ notice, they will reschedule as soon as possible.
  • If the trainer runs late in starting the session, they will extend the session time accordingly or make it up at a future date, whichever is most convenient to you.

4. Your Obligations

4.1 Disclosure of information 

Please disclose all health information as requested at our initial consultation. You acknowledge that your answers to the questions outlined on the Questionnaire form are true and complete to the best of your knowledge.

You agree to keep us updated and informed of any changes to your health status, which might affect your ability to exercise safely and with minimal risk of injury. This includes all medical conditions; physical and mental, injuries, allergies, and medication you are taking. If necessary, you may need to seek clearance from your doctor before participating in the training program we recommend.

4.2 Accepting potential risks

Whilst for most people exercise is hugely positive with many health benefits, there remains some risk that we require you to be aware of. The risks include, but are not limited to, those caused by facilities, equipment, your physical condition, poor nutrition, lack of hydration, or actions of other people.

You agree to take full responsibility for your own training sessions where no supervision is provided by RCA Fitness. You commit to asking for assistance for any exercise if you are unsure of how to perform them safely.

You agree to indemnify and hold harmless, RCA Fitness and any of its trainers and employees against any liability incurred as a result of such injury, loss, cost, or damage which they might unintentionally sustain, as a direct or indirect result of participation in this cardiovascular and resistance training program. You hereby waive any right, claim or cause of action against RCA Fitness and its trainers and employees.

4.3 If you cancel or run late

  • If you cancel your session with less than 24 hours’ notice or fail to show up, you will be required to pay 100% of the session fee.
  • If you are late to a session, the trainer will do their best to get the most out of the remaining time left in the session as they are unable to run overtime due to previously arranged client commitments.

    PLEASE NOTE: In the event that you need to reschedule, cancel or you are running late for a session, you must contact your trainer at your earliest convenience directly by text, WhatsApp, or call on 07834 318249.

4.4 Being prepared for your own session

To get the most out of your session we recommend the following:

  • Have a small snack or light meal two or three hours before your session
  • Be sure you are well hydrated and avoid alcohol prior to training
  • Take a water bottle to your session
  • Wear appropriate clothing and footwear
  • If you are feeling unwell before your session, please contact your trainer
  • Be ready at the appointed time 

4.5 Communication and Commitment

While your trainer can give you the tools and encouragement to reach your goals, ultimately you will need to assume responsibility for making the required changes. We can best help you with this process if you keep us fully informed of any issues that arise for you and if you have any questions or concerns whatsoever please don’t hesitate to voice them with us.

5. Payment

The payment for RCA Personal Training is to be made via Direct Debit monthly.

RCA Fitness operates on a pre-pay basis and your Direct Debit form has to be submitted 7 days before any of the program planning occurs. The banking process will take 4-6 working days before the first payment will be taken.

6. Term

This agreement will run for an initial period of 12 weeks (3 months). Once the initial term has been completed, this agreement goes to a monthly rolling agreement.

7. Cancellation

Cancellations for prepaid programs, which have already started, will incur a 50% charge for any outstanding weeks to cover time spent by the trainer, developing and planning the program.

Once the initial period of 12 weeks has been fulfilled, and you wish to cancel your rolling agreement, you must give us a written 30 days’ notice, to allow us to bring another client onboard. At the time of notice, your direct debit must still be active and you can cancel your subscription after we have received your final payment. 

In the unlikely event of RCA Fitness being unable to continue a client’s training, the client can request a refund from RCA Fitness for any unfulfilled weeks. 

8. Terms of this agreement  

The client understands that they are paying the trainer for their services as outlined in this agreement. In the event that the client doesn’t use the services, the client will still be responsible to make payment for the full initial term as agreed above.

The trainer will deliver their coaching and advice to the best of their ability.

Pictures may be taken as a part of your transformation progress. Your participation in RCA Personal Training means you consent to photography, filming, and sound recording which may include you as a client and its use in commercial distribution without payment or copyright.

RCA Fitness has the right to change these Terms and Conditions, for example, to be able to offer new services or as required by law. RCA Fitness will notify you of any change. When such a change(s) is made, if dissatisfied you can cancel this agreement once you have made any payments already due to the trainer.
